Starting point

The way many businesses work today

  • Requests in many places

Requests arrive in a shared mailbox or a helpdesk, as well as by phone and in conversation on-site. What was discussed on the phone is often not written down anywhere.

  • Two systems, one gap

Tickets in the helpdesk, time in a separate time tracker, a spreadsheet or on paper. You bring together by hand what belongs together, and whether every job ends up there only becomes clear at the end of the month.

  • Month-end by hand

Time is transferred into the accounting program, rounded up and supplemented with travel costs. Usually management does this personally, alongside the technical work.

Process

From request to month-end

Skipper follows a job from the first request to billing. The time you book on the ticket is the same time that is billed at the end of the month.

  1. A request comes in

From your mailbox, through the customer portal or as a phone call noted by your team. Every request becomes a ticket. For emails, Skipper assigns the sender to the customer by their email domain.

  2. Work on it as a team

Each ticket lands in a category with its own queue and gets an assignee, a priority and a date. Replies to the customer, internal notes and noted phone calls appear in the same conversation.

  3. Book time on the ticket

Use the form on the ticket, or start the timer in time tracking and assign it to the ticket. Either way, the entry carries an activity and the hourly rate that applies to it. You add materials and travel costs in the form on the same entry.

  4. Month-end

Skipper shows what is ready to be billed for each customer, following your rules for rounding and minimum time. With Lexware Office, this becomes the invoice draft. The service record PDF also lists every job with its booked duration.

Skipper does not create invoices: they are finalised and sent in Lexware Office. Without Lexware Office, you transfer the line items from the billing overview into your accounting program and attach the service record.

Features

What Skipper covers

From the mailbox to the invoice draft. Each area has its own page showing what Skipper does today and what to know before you decide.

  • Tickets and mailbox

Requests from your mailbox, the customer portal and the phone arrive as tickets in one shared queue.

  • Time tracking

You book time with a timer, in a form or directly on the ticket, at the hourly rate that applies to the customer.

  • Customer portal

Your customers submit requests via a form, see the status of their tickets and reply directly.

  • Billing and service records

At the end of the month, Skipper shows what to bill for each customer, with a service record as PDF for any accounting and an invoice draft in Lexware Office.

  • Team planning

List, board and monthly calendar show what is coming up, and recurring tickets create repeat work in good time.

  • Customers, projects and contracts

The customer record brings together contacts, tickets, time, projects, contracts and documentation in one place.

  • Wiki and customer documentation

Runbooks and customer documentation live in the same system as your tickets.

  • AI integration and MCP server

Skipper connects to the AI provider of your choice, and AI assistants such as Claude work with tickets, customers, time and wiki via the MCP server.

Hosting

In the cloud or self-hosted

Both hosting options share the same basis: a separate instance with its own database, just for your business. You decide who runs the server.

  • Cloud

You work in the browser, we host and run your instance.

    • We take care of operation, updates and backups
    • We install updates outside your business hours and announce them with release notes
    • Billed monthly or annually
  • Self-hosted

Skipper runs on your server under a licence; the database and files stay with you.

    • You receive the container image and the updates
    • The server, backups and the timing of updates are up to you
    • Licence billed monthly or annually

We charge a flat fee per instance and month, tiered by the number of users in your team. We tell you the prices when we speak with you.

Origin

Built in our own business

We are an IT service provider ourselves. Skipper is the software we use every day to handle requests, book time and prepare billing, and it grew out of exactly this work.

Skipper is new on the market. We set it up together with every business, and feedback from the first businesses goes straight into its further development. We explain openly what it means for your data when we, as an IT service provider, run your instance in the cloud, under Confidentiality and data protection.

Frequently asked questions

Questions about integrations, about hosting and licensing and about switching to Skipper are answered on the pages Integrations, Hosting & licensing and Onboarding.

Who is Skipper for?

For strong small IT teams, mainly with up to ten people, who look after small and medium-sized business customers: support by email and phone, on-site and remote work, billed on a time-and-materials basis or by contract. Skipper brings tickets, planning, time tracking and billing into one system, without you first having to set up processes for a large service desk. Skipper grew out of the daily work of an IT service provider, and we use it ourselves every day.

Do I need Microsoft 365?

No. Skipper needs a mailbox from which your tickets are created and through which your replies to customers go out. With Microsoft 365 and Exchange Online we connect your mailboxes, including shared mailboxes; likewise Google Workspace, your own Exchange server or a mailbox via IMAP. We set this up together with you during onboarding.

Which tools can I connect?

Your mailboxes in Microsoft 365, Google Workspace or via IMAP, your accounting such as Lexware Office, sevdesk, easybill or Billomat, your RMM such as Tactical RMM, NinjaOne or Datto RMM, your team chat such as Mattermost, Microsoft Teams or Slack, and the AI provider you choose. Monitoring systems create tickets via webhook, and AI assistants such as Claude work along through the MCP server. We set up what you use together with you during onboarding. If your tool is missing, get in touch.

Is Skipper available in English?

The interface for your team is available in German and in English, and each person chooses their language in their own account. Dates and numbers appear in German format in the English interface too. Everything your customers see is only available in German: the customer portal, the emails to your customers and PDFs such as the service record and contracts. Notifications to your team are also preset in German; you can rewrite the templates, but only for everyone at once. You set the language in which the AI assesses and summarises tickets once for the whole instance. The sign-in and setup pages, the entries Skipper itself writes into tickets and the release notes also stay in German. Our support is available in German and in English.

Can Skipper bill monthly flat fees?

No. Skipper prepares billing for recorded time, materials and travel costs; recurring flat fees, contract values and blocks of hours are not part of its billing. So you continue to bill your monthly flat fees from your accounting program, and the billable time from Skipper is added: with Lexware Office as an invoice draft, with any other program through the billing overview and the service record. You record work covered by the flat fee as non-billable: it stays visible in the reports and does not end up in any invoice draft. This then also applies to materials and travel costs on that entry; anything you want to charge for on top, you add by hand in your accounting program. The work still appears in the service record unless you filter it to billable time first.

How does my team record time on customer sites?

Your team records time on the go in the browser on their phone, or after the visit in the form. Besides duration and activity, the form also has the work location, travel costs and materials used. If the timer runs during the visit, you add these details to the entry after stopping it; the dialog for stopping the timer does not include them. There is no separate app, no offline recording and no customer signature on site.

How much does Skipper cost?

Skipper costs a flat fee per instance and month, tiered by the number of users. Users are the people in your team with their own access to Skipper; your customers in the customer portal do not count. You are billed monthly or annually, and there are separate prices for the cloud and for self-hosting. We tell you the amounts when we speak with you. If you use an AI provider or an accounting program such as Lexware Office, they bill you directly for their services.
