Time tracking

You book time with a timer, in a form or directly on the ticket, at the hourly rate that applies to the customer.

Schematic illustration with sample data.

At a glance

Time is booked where the work is done: on the ticket, in the form after the job, or with the timer that runs while you work. The activity determines the hourly rate. If a different rate applies to a customer, Skipper uses it and stores it on the entry.

You record materials and travel costs on the same entry as the working time, and with Lexware Office they then appear as separate line items in the invoice draft. You mark goodwill time as non-billable, and you book internal work such as training to your own company. Both remain visible in the reports and never end up in an invoice draft, nor do the materials and travel costs on the same entry.

  • Timer that keeps running on the server, even after the browser is closed.
  • Entries with a duration or with start, end and break.
  • Book time directly on the ticket, with all its time entries and their total in view.
  • Activity catalogue with standard rates and different rates per customer.
  • Materials from your article catalogue or as free text, with quantity.
  • Travel costs as a flat fee, uniform or per departure location.
  • Work location remote or on-site, and the contact person at the customer.
  • Administrators add forgotten time for others in the team.
Good to know
  • No app and no recording without a connection: on the road in the browser on your phone, or after the job in the form.
  • No customer signature on site.
  • One timer per person. You add materials and travel costs to the entry after stopping it.
  • No export of time entries: not as CSV or Excel, nor for DATEV.
  • If an older entry is edited, it takes on the hourly rate valid today, even if only the description was corrected.
In detail

Booked where the work is done

A timer that keeps running

You start the timer in Time Tracking, and only the customer is required. It keeps running on the server even when the browser is closed, and reappears on another device after you sign in. When you stop it, you choose the project, the activity and whether the time is billable, and you can link a ticket.

Each person has one timer, and it cannot be paused. There is no timer button on the ticket.

In the form and directly on the ticket

In the form you book a duration, or start, end and break. Date, customer, project and activity are required, and the customer’s default project is preselected. On the ticket, customer and ticket are already set, and the time card shows all time entries on the ticket with their total. Administrators can hide fields your business does not need.

There is no approval step, no bulk editing and no export of time entries. Since version 1.21.2, AI assistants can also create time entries via the MCP server, without travel costs and work location.

Activities and hourly rates per customer

In the activity catalogue, each activity has a standard rate. For individual customers you set a different rate or create activities that apply only to that customer. Skipper stores the rate that applies to the customer on the entry when it is booked.

If an older entry is edited, today’s rate applies afterwards. Rates have no effective date.

Materials and travel costs on the same entry

On the time entry you record articles from your catalogue or as free text, each with a quantity. You record travel costs as a flat fee, uniform or per departure location, along with the work location, remote or on-site, and the contact person at the customer. With Lexware Office, materials and travel costs appear as separate line items in the invoice draft.

There are only flat fees, no mileage, and the flat fee applies to each marked entry. Materials and travel costs cannot be recorded when you stop the timer or via MCP; you add them to the entry afterwards.

Goodwill and internal work

Time you mark as non-billable never ends up in an invoice draft and remains visible in the reports. Internal work such as training is booked to your own company, without project and activity.

Materials and travel costs on a non-billable entry do not go into the draft either. By default, the service record also shows non-billable time, without marking it as such, unless you filter before exporting.

Adding time for colleagues

In Time Tracking, administrators also see the entries of others in the team and add forgotten time for them, without signing in with their account.

This requires the Administrator role. Afterwards, the entry does not show who added it.
