Billing and service records

At the end of the month, Skipper shows what to bill for each customer, with a service record as PDF for any accounting and an invoice draft in Lexware Office.

Schematic illustration with sample data.

At a glance

Each month, the billing overview shows the customers with unbilled time and the line items that result from it, calculated by your rules for rounding and minimum time. Skipper combines time with the same ticket and the same activity into one line item, and materials and travel costs appear as separate line items below.

If Lexware Office is integrated, a click in Skipper turns this into the invoice draft, which you check and send in Lexware Office. The same applies to sevdesk, easybill and Billomat. Without an integrated program, you transfer the line items into the program you already write your invoices with, attach the service record as PDF and mark the time in Skipper as billed. The record lists every job with its booked duration, without rounding and without amounts. Time that has already been billed does not go into an invoice draft a second time.

  • Billing overview per month and customer with a preview of the line items.
  • Invoice draft in Lexware Office for one customer, or in one go for several customers in a month.
  • Service record as PDF with your logo, per customer or for all customers at once.
  • Your rules for rounding and minimum time per ticket, optionally in work units instead of hours.
  • Line item texts from templates with placeholders such as ticket number, activity and period.
  • Status and invoice number come back from Lexware Office to Skipper.
  • Reports per month and customer, and the value of the recorded work over up to 24 months.
  • Billed time can be locked, and then only administrators can change it.
Good to know
  • Invoice drafts are created in Lexware Office (cloud version), sevdesk, easybill or Billomat; the setup is part of onboarding.
  • You finalise and send the invoice, including the e-invoice, in Lexware Office.
  • No monthly flat fees, no contract values and no free-form invoices in billing.
  • One VAT rate for all line items of a draft.
  • Only administrators see billing and reports.
In detail

From time entry to invoice draft

Billing overview by your rules

The billing overview shows, for each month, all customers with billable time and a preview of the line items. It calculates by your rules: rounding, 15 minutes by default, minimum time per ticket and per entry without a ticket, optionally in work units instead of hours. The same activity on the same ticket becomes one line item with a text from your templates, and materials and travel costs appear as separate line items below.

Calculations are per customer and calendar month. One VAT rate applies to all line items.

Invoice draft in Lexware Office

With Lexware Office, a click in Skipper creates the invoice draft, for one customer or in one go for several customers in a month. The time then counts as billed. Status and invoice number come back from Lexware Office every hour or via a button, and if someone changes a billed entry, billing shows it as “modified after billing”.

The integrated program today is Lexware Office, the cloud version, and Skipper only creates drafts. Before their first draft, you link each customer once to their contact in Lexware Office. If you use sevdesk, easybill or Billomat, we set up the integration with you during onboarding.

Without an integrated accounting program

Without an integrated program, it works with any accounting: you transfer the line items from the billing overview into the program you already write your invoices with and attach the service record as PDF. When you export the record, you mark the time in Skipper as billed.

This marking in the export only exists as long as no accounting program is integrated.

Service record as PDF

The service record lists every entry per customer by day, with activity, duration, person, project, work location, travel costs and ticket. It carries your logo, and you create it in one go for all customers in a period.

The record is in German and contains no amounts and no rounding, and by default it also includes non-billable time unless you filter before exporting. Only administrators can create it, and your customers cannot retrieve it in the customer portal.

No double billing

Billed time carries a billing date and does not go into an invoice draft again. If you wish, you lock it, and staff can then neither change nor delete it.

The lock is off by default. Administrators can always change billed time, for example to correct a billing run.

Reports per month and customer

The overall report shows all customers per month with hours and the value of the recorded work, broken down by activity and person. The customer report lists the entries of a customer in the month, and the trend covers 6, 12 or 24 months.

The value is recorded time multiplied by the hourly rate, not the invoice total: rounding, materials and travel costs are not included. There is no export of the reports.
